Key Responsibilities:
- Coordinate and chair planning meetings of events and programs.
- Plan events with attention to financial and time constraints.
- Book venues and schedule speakers.
- Research and select vendors (catering, venues, hospitality, etc.) for quality and cost.
- Manage event operations in collaboration with the Family Services unit.
- Complete checklists and documentation to ensure all requirements are met.
- Create run sheets for sponsors, vendors, attendees, etc.
- Oversee event activities and resolve problems promptly.
- Create content for social media and promotional materials for events.
- Support virtual and online training events.
- Maintain updated documentation and assist with administrative tasks.
- Manage the merchandise ordering process for all events.
- Coordinate the event from start to finish, including bump in and out from suppliers, briefing staff and managing the event to ensure it is an absolute success.
- Develops and maintains a positive relationship with young people, families and community.
- Develop and maintain effective working relationships with a broad range of stakeholders and services.
- Completion of program logic and evaluation of event success.
- Data recording for evaluation purposes.
- Perform and complete any reasonable duties relevant to the position as requested by Management.
- Ensures that the standards required by relevant legislation are maintained.
- Participate in team project initiatives and support other team members in periods of high demand and during periods of absence.
- Other duties as required and/or directed by senior leadership.
Administrative responsibilities
- Attend staff meetings.
- Participate in service training programs as organised by Njernda and / or any other training to enhance skillset.
- Ensure that all statistical data / record keeping, and other documentation are completed and forwarded on in time.
- Follow correct policies and procedures at all times.
- Contribute to and support the organisations systems and processes for managing safety, quality and risk, observe and risk associated to WHS.
Key Selection Criteria:
Applicants must possess:
- Strong organisational skills and an ability to manage multiple tasks and priorities with precision.
- Proficient in working under tight schedules and capable of meeting project deadlines within budget consistently.
- Experience in event planning, coordination, or related fields, demonstrating creativity and innovation.
- Excellent interpersonal and communication skills, with the ability to effectively engage with various stakeholders.
- Prior experience working with Aboriginal organisations or communities, showing respect for cultural traditions and values.
- Able to collaborate effectively with cross-functional teams while also working independently and autonomously, taking ownership of assigned tasks.
- Demonstrated experience or understanding of program logic, evaluation and data recording.
Other relevant information
- Must have a Criminal Police Record Check
- Must have a current Working with Children check.
- Must hold a current full Victorian Drivers/Licenses and provide a copy
